Clinic Software – Onboarding Experience Specialist

We are looking for a passionate Onboarding & Training Consultant to join Collums Clinic Management Software to execute, report on & improve the Onboarding & Training process.
This role is ideal for someone with experience of working booking management software in a clinic/medispa/salon environment. We will also consider applications from those with experience in salon management and training.
About Collums
Collums is a rapidly growing UK based, early stage SaaS company providing a premium clinic management software tool across the UK. Collums launched in December 2021 after 3 years of development led by clinic owner and respected aesthetics doctor, Dr Askari Townshend.
Dr Askari’s vision was, and is, to create a leading SaaS solution for the aesthetics, cosmetics and dermatology industry that is hungry for a premium, robust and pragmatic solution to booking, client and business management.
The response since launch has been overwhelmingly positive and the need to grow the team is required to keep pace with this growing demand.
The Opportunity
We are looking for someone who is passionate about helping our businesses thrive but is also customer focused and able to learn quickly. You should have great attention to detail, be highly motivated and driven with the ability to hit the ground running in a challenging, fast paced but rewarding role.
As an Onboarding Experience Specialist, you will have an impact from day one, reporting on and improving very early stage processes. You will be responsible for onboarding new clients to Collums from other platforms, assisting with their setup and providing them with training.
You will need to address and remedy any issues during the migration process and take steps to prevent these issues in future. You will collaborate with Sales and Data Migration on a daily basis to ensure client expectations are met with a well synchronized team approach to new merchant journeys. There may also be a collaboration with our Product Team to map out developmental improvements to the process in future.
As the first member of the Onboarding and Training team, you will have the opportunity to shape this role and the trajectory of the department as a whole. For the right individual this could lead to building and leading the department to serve the expected high growth of Collums.
What you will do
- Work with Merchants to arrange an onboarding, setup and training schedule
- Execute your schedule and improve it over time
- Become a product expert to effectively share Collums best practice with new merchants
- Improve upon existing processes to expedite workflow
- Work with the Data Migration Team to further streamline migration processes
- Assist with building onboarding & training playbooks
- Work closely with the CCO and CEO
- Work well across departments as part of a fully remote organisation
Who you are
- Min 2+ Years of strong Customer Service Experience
- Ability to work under pressure with tight deadlines.
- Problem solving skills and can investigate and assess issues quickly.
- Excellent verbal communicator and experience in training
- Excellent written communication skills
- Ability to present complex ideas clearly and be engaging
- High level Critical thinking skills
- Tech literate to an independent level (Excel literate crucial)
- Familiar with the service industry (ideally aesthetics/medispa)
- Familiar with Google Workspace suite to an independent level
Nice to Have
- Previous experience using Slack, Trello, Miro and Hubspot CRM a bonus
- Previous aesthetic experience a big bonus
- Previous software onboarding & training role is another big bonus!
